From bottleneck to structured system: 
How a top 5 global insurance broker rebuilt its thought leadership engine with AI

Context

In August 2025, UnMute conducted the Promptworks Tier 2 workshop for the APAC marketing and communications team of a top 5 global insurance broker. The workshop is a three-hour, hands-on session designed to build prompting fluency and structured systems for marcomms teams.

The client team had a specific and urgent use case in mind that required stronger prompting capability: A recurring content challenge tied to the insurance industry’s annual conference season, which was to produce more than nine thought leadership articles, on differing topics, each between 500 and 750 words, within a demanding timeline.

At the centre of the work was a familiar problem for communications teams. High-value content needed input from multiple subject matter experts. But the path from draft to approval was slow, repetitive, and difficult to manage at scale.

The challenge

Before the Promptworks intervention, the team’s article production process took more than three months. Drafts moved through repeated rounds of writing, editing, subject matter experts (SME) rewrites, and approvals. The team described extensive back-and-forth with SMEs and a process involving more people in the approval chain than was ideal.

The volume added pressure. With nine or more articles required for conference season, the process became a rush. Time was absorbed not only by writing, but by coordination, revision, and the effort needed to create a consistent voice across multiple authors. The Promptworks intervention

The Tier 2 workshop also introduced the foundations of prompt infrastructure, enabling teams to move toward more systematised workflows. In practice, the team applied this to their thought leadership workflow, resulting to outputs being “90% nailed in 5 minutes.”

The workflow also became simpler. In follow-up feedback, the client said AI and structured prompting eliminated much of the back-and-forth with SMEs and reduced the number of people involved in the approval process. That matters because the time saving did not come from writing faster alone. It came from removing friction from the wider content workflow.

Quality and consistency improved as well. The client reported that the articles were of higher quality, and further stated, “The team was complimented on how naturally each article read and on the consistency of voice across the full set of pieces, despite having nine different SMEs as authors.”

There was also a clear human impact. The client said the time saving allowed the team to start the process later, plan work more effectively, and focus on upcoming articles after conference season. Just as importantly, the process felt less rushed, and stress levels across the team were significantly reduced.
